2. How We Use Your Information
Your information is used to:
- Provide and manage our accounting, bookkeeping, and consulting services.
- Communicate with you regarding inquiries, updates, and service offerings.
- Improve our website and services based on user interactions.
- Comply with legal obligations and enforce our terms and policies.
3. Sharing Your Information
We do not sell your personal information. We may share your data with:
- Service Providers: Third-party vendors assisting in service delivery, bound by confidentiality agreements.
- Legal Obligations: Authorities or legal entities when required by law or to protect our rights.
4. Your Privacy Rights
Depending on your state of residence, you may have the following rights:
- Right to Know – Request a report of the categories and specific pieces of personal information we hold.
- Right to Data Portability – Receive that report in a portable (CSV or PDF) format.
- Right to Correct – Ask us to fix inaccurate data.
- Right to Delete – Ask us to erase data that is no longer necessary.
- Right to Opt Out – Direct us not to sell or share your personal information (we don’t, but CCPA/CPA require we offer the option).

Submitting a request: We will verify identity by matching at least two pieces of data we already hold (for sensitive requests, a signed engagement letter or government ID may be required). Authorized agents must present written permission.
We also honor browser-based Global Privacy Control (GPC) signals as an opt-out request for that device.
5. Children’s Privacy
Our services are directed to business owners and are not marketed to children under 13. We do not knowingly collect personal information from anyone under 13, and we will delete such information if we learn we have received it.
6. Global Privacy Control
We recognize and honor Global Privacy Control (GPC) signals. If your browser or device sends a GPC signal, we will treat it as a valid request to opt out of the sale or sharing of your personal information.
7. Cookies and Tracking Technologies
Our website uses cookies and similar technologies to enhance user experience. You can set your browser to refuse cookies or alert you when cookies are being sent.
8. Data Security
We employ physical, administrative, and technical measures that meet or exceed “reasonable commercial standards,” including but not limited to: encryption at rest and in transit, multi-factor authentication, least-privilege access controls, annual third-party penetration tests, and continuous security-logging. No method is foolproof; however, these controls reduce the risk of loss, misuse, or unauthorized access.
9. Additional Protections for Financial Information
Because Sequoia Business Solutions is an accounting and tax services firm, U.S. financial-privacy laws apply to the data we hold.
- Gramm-Leach-Bliley Act & FTC Safeguards Rule – We maintain a written information-security program (WISP) that includes risk assessments, multi-factor authentication for all cloud bookkeeping and tax applications, encryption at rest and in transit, employee security training, and ongoing vendor due-diligence.
- IRS §§ 7216 / 6713 Confidentiality – Tax-return information is used or disclosed only for purposes permitted by the Internal Revenue Code, and never for marketing or non-tax matters without your written consent.
- Incident Response – If we learn that unauthorized parties accessed accounting, payroll, or tax data, we will notify affected clients as soon as practicable and no later than 72 hours after confirmation of the incident.
- Record Retention & Secure Disposal – Federal and state regulations require us to keep most tax and payroll records for at least seven (7) years. When retention periods expire we delete or destroy data using industry-standard secure-disposal methods.
10. Retention of Personal Information
We retain your personal information only as long as necessary to fulfill the purposes outlined in this policy, unless a longer retention period is required or permitted by law.
11. Changes to This Policy
We may update this policy periodically. Changes will be posted on this page with an updated revision date.
